Executive Support Assistant
Up to £30,000 pa (depending on experience)
We have an exciting new opportunity for an Executive Support Assistant to support and enhance the effectiveness of our executive team. This will be a varied and challenging role, and you will have the opportunity to work within a fun and dynamic team in a fast-moving yet engaging working environment.
Making sure our customers have the best experience in our Innovation Centres is a real team effort and as a member of the head office team, you will play a key part in this. You will work efficiently and professionally, supporting the members of Oxford Innovation’s Divisional Management Board (DMB) with a range of administrative and organisational activities.
Oxford Innovation’s Innovation Centres division operates a network of centres that provide flexible office and laboratory space and business support services to companies throughout the UK. Our clients are start-ups, high growth SMEs, investors, and public-sector organisations that contract with us to deliver innovation centres and programmes to business. We now manage more than twenty centres across the UK for a variety of public and private sector clients, providing space and support to nearly 1000 exciting, innovative and growing companies.
About the role
The primary role of the Executive Support Assistant will be to work closely with and support the Divisional Management Board on a daily basis, in addition to undertaking ad-hoc projects and assignments with the wider operations and commercial teams when required.
The ideal candidate will have fantastic people skills and great attention to detail. You will manage business-related tasks for the team such as organising travel and accommodation, preparing reports and presentations, collating information, greeting clients and assisting with financial administration. Managing diaries, planning meeting agendas, minute taking and following up on the completion of actions will also be a crucial part of your role.

Being key part of the head office team means that the Executive Support Assistant needs to be able to look at the bigger picture and identify ways to improve the department and the efficiency of the team. You should take pride in your work, always be on hand to help and be able to demonstrate the relevant qualities required to thrive in this role.
You will be able to confidently communicate with stakeholders at all levels across the organisation and externally, helping to project a professional image and acting as a champion and ambassador to the team. Teamwork, trust and support are important values to our business and the right candidate must naturally display these qualities throughout their day to day work and interactions with others.
To be successful in this role, the Executive Support Assistant should have a detailed working understanding of the full Microsoft Office suite, be extremely fast at solving problems and have previous experience as an executive or administration assistant.
